The terms chatbot, AI assistant, AI agent and automation are often used as if they mean the same thing. They do not, and the difference matters when you choose a tool.
Chatbots
A chatbot answers questions in a conversation. You ask, it responds. It generally does not take actions in other apps on its own. Chatbots are a good fit for answering questions, drafting text and brainstorming.
Workflow automation
Traditional automation follows fixed rules: when X happens, do Y. It is predictable and cheap to run, but it breaks when inputs vary or a step was not anticipated.
AI agents
An AI agent is given a goal and decides which steps and tools to use to reach it. It can plan, call tools, check results and adjust. That flexibility handles messy, variable work, but it also makes behavior less predictable and oversight more important.
Which should you choose?
- Repeatable, well-defined process: workflow automation is usually the safer and cheaper choice.
- Open-ended questions and drafting: a chatbot or assistant is often enough.
- Multi-step tasks with variable inputs: an agent may be worth the extra complexity, especially with human review of key actions.
